TITLE: Operations / Administrative Assistant with Financial Services experience and EXCEL knowledge (Portfolio Administrator)
LOCATION: Midtown Manhattan
DURATION: 6 months (contract to perm)
RATE: $22-$24/ hour W2


SUMMARY:
  • Banking/Financial Services experience is a strong Plus
  • Larger corporate work experience is a strong plus 
  • Role could become temp-to-permanent to the right person
  • Bachelor's degree required
GENERAL DUTIES
Provide administrative support to Portfolio Managers and Managing Directors for all portfolio management related matters.
  • Maintenance of databases, purification of data, maintenance of data feeds, and related assignments.  Maintain Pipeline Reports of deal flow.
  • Monitor financial covenant requirements including receipt and review of all credit agreements and other documents for financial covenant reporting requirements, maintain tickler systems, prepare reports on past due items and other ad hoc reports as requested
  • Perform portfolio management controls for Bank customers, as assigned. This function includes retrieving credit application and approvals from G-CARS (Global Credit Application Rating System), review and record into internal database (e.g. Tickler System, Pipeline Reports, etc.), complete and submit capital market lines instructions to Middle Office. 
  • Prepare instructions for registering Capital Market Lines.
  • Provide general administrative support including, but not limited to, travel arrangements and expense reimbursement.
  • Primarily responsible for the accuracy and maintenance of Timekeeping System’
  • Legal Documentation Management: as part of Department control procedures, the incumbent is responsible for prompt follow up and resolution of past due executed legal documents.  The procedure requires the accurate receipt, control, and coordination of these documents. This includes contacting external legal counsel and/or Agent Banks, providing documents to Middle Office for recordation and storage in the vault
  • Electronic Credit Files maintenance: Documents provided for e-filing are derived from many sources, including, but not limited to Portfolio Managers, Relationship Managers, and deal sites.  Promptly and accurately upload all relevant transaction and customer documents in the e-credit files in CAL (Credit Application Library).
  • Monitor condition(s), reports required, and instruction(s) imposed by credit divisions from G-CARS applications approvals. 
  • Other:  (including training, Cross-training, Admin Manual & Projects: Train other administrative staff, when required.  Participate in cross-training opportunities.  Assist in updating Administrative Procedure Manual.   Other projects as required
QUALIFICATIONS
  • Bachelors degree in Business or Finance, or related field of study required
  • Expert level in MS Excel is required
  • Strong attention to detail, analytical, and time management skills. 
  • Temp assignment has possibility of converting to full time. We are looking for a bright, enthusiastic, top performer with advanced excel skills.
  • Banking experience is a plus but not necessary. Bachelor's degree is a decisive asset. 
  • Exemplary interpersonal, communication skills, organization skills, the ability to work collaboratively and multi-task is imperative.
